National Team Coordinator Job Description

Position Title: National Team Coordinator

Reports To: Cheer Canada Executive Director
Position Type: Part-Time, remote, with required domestic and international travel
Term: One-year contract, with opportunity to extend

Purpose

The National Team Coordinator supports the delivery, growth, and athlete experience of Cheer Canada’s National Team program. This role goes beyond logistics. It requires a proactive, athlete-first approach grounded in care, communication, preparedness, and timely support for athletes, coaches, staff, and program partners.

This position acts as operational support for the program, helping ensure athletes and coaches have the information, resources, and environment they need to perform at their best. The successful candidate will be highly organized, independent, solution-focused, and genuinely invested in the professionalism and continued growth of the National Team program.

Working closely with the Executive Director, coaches, support staff, and external partners, the Coordinator manages logistics, athlete communications, event preparation, documentation, and day-to-day program needs. This role requires the initiative, willingness, and empathy to anticipate the needs of the program and step in where support is needed most while operating within Cheer Canada’s policies, budget, and strategic direction.

The Coordinator may make daily operational decisions within approved budgetary and policy guidelines and will consult the Executive Director on required approvals, strategic decisions, and escalated concerns.

Key Responsibilities

Athlete-First Program Support

• Serve as a trusted, responsive, and professional point of contact for National Team athletes, coaches, staff, families, and partners.
• Prioritize clear and timely communication so athletes and coaches feel prepared, supported, and valued.
• Anticipate team needs and adapt quickly during events and resolve issues professionally as they arise.
• Provide reminders, resources, and follow-up that strengthen the team experience.
• Bring empathy, professionalism, and calm problem-solving to high-pressure situations.
• Respect confidentiality, appropriate boundaries, and Cheer Canada policies while staying attentive to athlete and team needs.

Program Coordination & Administration

• Coordinate program planning, documentation, communications, schedules, registration, and reporting.
• Maintain National Team documents, athlete selection materials, team plans, camp information, and related resources.
• Track timelines and proactively identify upcoming needs, deadlines, risks, or gaps.
• Ensure Cheer Canada’s website, social media, and internal records include accurate Team information.
• Create and distribute promotional and informational materials for team activities, events, and initiatives.
• Provide regular updates and reports to the Executive Director.
• Gather feedback and identify opportunities to improve systems, processes, and the program experience.

Event, Camp & Logistics Coordination

• Manage logistics for team training camps, selection camps, competitions, and related events.
• Coordinate and communicate logistical plans clearly and in advance, including travel, accommodations, transportation, meals, venues, schedules, rooming lists, and event requirements.
• Track and confirm forms, fees, documentation, registrations, waivers, and competition requirements.
• Attend required training camps and World Championships, providing on-site coordination and support.

Coach, Staff & Team Operations Support

• Support athletes and staff with team communications, schedules, athlete information, and event logistics.
• Coordinate apparel, equipment, and prop orders, inventory, shipping, and expenses.
• Maintain athlete profiles, media guide information, team records, and inventory tracking.
• Contribute positively to meetings, planning discussions, and program improvements.
• Bring forward concerns, ideas, and opportunities that may strengthen the athlete and coach experience.

Compliance, Safety & Risk Management

• Support compliance with CC & ICU policies, Sport Integrity Canada requirements, and WADA regulations.
• Ensure athletes, coaches, and staff complete required training, documentation, and compliance requirements.
• Support and promote safe and inclusive training and competition environments, including accessibility and accommodations, through Cheer Canada’s safety, risk management, and conduct protocols.
• Support conflict resolution when appropriate and escalate serious concerns, conflicts, or safety matters in a timely manner.

Budget, Finance & Resource Management

• Work with the Executive Director to support budget preparation, financial tracking, expense management, reporting, and documentation for team activities, camps, competitions, and events.
• Support grant writing, sponsorship reporting, fundraising, and other revenue-generating initiatives as needed.
• Ensure approved expenses are documented and processed in accordance with Cheer Canada policies.

Public Relations, Promotion & Program Growth

• Support National Team promotion through website updates, social media content, athlete information, and storytelling.
• Help highlight athletes, coaches, teams, sponsors, partners, and program achievements.
• Work with the Executive Director and communications team to ensure timely and accurate promotion.

Qualifications

Experience

• Minimum of three years of experience in sport administration, team coordination, or a related field.
• Experience in high-performance cheerleading and ICU events as an athlete, coach, or admin is an asset.

Skills

• Strong organizational, communication, interpersonal, and project management skills.
• Ability to manage competing priorities and deadlines in a fast-paced environment.
• Ability to work independently, take initiative, and remain aligned with organizational direction.
• Ability to manage sensitive situations with discretion, empathy, and sound judgment.

Knowledge

• Familiarity with Cheer Canada policies, event coordination, and athlete support services is an asset.
• Knowledge of safe sport, anti-doping, athlete services, and inclusive sport practices is an asset.

Technical Proficiency

• Comfortable using digital platforms for communication, scheduling, registration, databases, document management, website updates, social media, and reporting.
• Proficiency with and access to Microsoft Office, Google Workspace, and administrative tools are required.

Education

• Bachelor’s degree in sport management, administration, recreation, communications, leadership, or a related field is an asset.

Required Certifications

• Valid driver’s licence.
• Current criminal background check.
• First Aid & CPR, or willingness to obtain.
• NCCP Safe Sport, or willingness to obtain.

Languages

• Fluency in both official languages would be considered an asset.

Terms

This position is a one-year contract, with the opportunity to extend.

The National Team Coordinator is required to attend up to four training camps per year, and the World Championship. Training camps are typically four days and are held in Canada. The World Championship requires approximately one week of work in Florida for camp and competition.

Outside training camps and competition, the role requires up to 10 hours per week, with hours increasing between January and April. Hours are flexible and may fall outside a typical 9:00 a.m. to 5:00 p.m. work week.

Compensation

This position provides an $11,000 honorarium, as well as travel, accommodation, and approved incidental expenses to attend required training camps and the International Cheer Union World Cheerleading Championships in Orlando, Florida.

Approved expenses will be reimbursed following submission of the Cheer Canada expense form with scanned copies of applicable receipts.
